Booking

All studio bookings must be confirmed in writing prior to the hire taking place.

Confirmation is completed by submitting the RIDA Studio booking confirmation form. Only confirmed bookings guarantee availability for the agreed dates and times.

Options

First options do not guarantee availability until a booking is confirmed.
If a client holding a second option wishes to confirm, the first-option holder will be notified and given a reasonable opportunity to confirm.

Studio options are held for a maximum of two weeks.
Any unconfirmed bookings will be released 48 hours prior to the shoot date.

Cancellations

Confirmed bookings cancelled within 48 hours of the first (or only) shoot date will be charged at 100% of the studio hire rate, plus any additional costs already incurred.

Confirmed bookings cancelled more than 48 hours before the shoot date will be charged at 50% of the studio hire rate.

Rates & Charges

All studio hire rates are confirmed at the time of booking and are subject to VAT at the current rate.

Additional services — including but not limited to equipment hire, catering, refreshments, set build, overtime, damages, or specialist cleaning — are charged in addition to the studio hire rate.

Overtime

Standard studio hours are 9:00am – 6:00pm.

Overtime charges apply if the studio is occupied by any crew member outside these hours.

Overtime is charged per hour at the agreed rate and must be settled in full.

Payment Terms

100% of studio hire charges must be paid prior to the shoot date.

All additional charges are payable on NET 30 terms unless otherwise agreed in writing.

RIDA Studio reserves the right to charge statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.

Any disputes relating to an invoice must be raised in writing within 7 working days of the invoice date.

Damages

The hirer is responsible for ensuring the studio, facilities, and communal areas are left in the condition they were found, allowing for reasonable wear and tear.

The hirer is liable for the full cost of repair or replacement of any damage to the studio building, fixtures, fittings, furniture, equipment, or appliances caused during the booking.

General cleaning is included in the studio hire. Specialist cleaning, painting, or repairs will be charged additionally.

Waste

Standard waste disposal is included using the bins provided within the hired area.

Any additional waste removal must be agreed in advance and will incur additional charges, payable prior to the booking.

Waste left beyond agreed terms may result in further fees.

Lighting & Equipment Hire

All equipment hire lists must be confirmed by 12:00 noon on the day prior to the shoot.

Late confirmations may result in limited availability or delayed delivery.

Hirers may bring their own equipment; however, all rental lighting and equipment supplied to the studio must be arranged through RIDA-approved suppliers. Third-party rental deliveries are not permitted without prior written approval.

Failure to comply may result in additional charges.

Personal Property

RIDA Studio accepts no responsibility for loss or damage to the hirer’s equipment or personal belongings.

All items brought onto the premises are the sole responsibility of the hirer and are not covered by any insurance held by RIDA Studio.

Any items left on the premises are left at the hirer’s own risk.

Deliveries & Collections

RIDA Studio can accept deliveries and collections of props, equipment, and materials between 9:00am – 6:00pm, up to 24 hours before or after the booked shoot date.

Items left outside of this agreed timeframe may incur storage charges.

All deliveries must be clearly labelled, with completed courier forms attached.

Parking

Limited parking may be available by prior arrangement.

Vehicles are parked entirely at the owner’s risk.

RIDA Studio accepts no responsibility for damage, theft, or loss relating to vehicles or their contents.

Any parking fines incurred remain the responsibility of the vehicle owner.

Catering & Refreshments

All catering and refreshments must be provided exclusively by RIDA Kitchen, the in-house catering service.

External catering is not permitted under any circumstances.

Catering arrangements must be confirmed in advance of the booking.
Additional cleaning or damages relating to catering will be charged to the hirer.

Equipment Return

All hired equipment must be packed down and returned in the condition it was supplied.

Equipment left for studio staff to pack down will incur additional labour charges.

Insurance & Liability

Use of RIDA Studio and its facilities is entirely at the hirer’s own risk.

RIDA Studio will not be held liable for any injury, loss, or damage to persons or property while on the premises, except where required by law.

RIDA Studio accepts no liability for loss, damage, or delay caused by circumstances beyond reasonable control, including (but not limited to) power failure, fire, flood, extreme weather, industrial action, or acts of God.

    Through GAS Hire we provide everything you need for your shoot at RIDA. Send us your kit list via office@gashire.co.uk and it will be waiting in the studio when you arrive.
